00:00 Welcome, everyone, to today’s video and to the new ChatGPT. Well, it is not actually new, but it certainly feels new after all the updates announced at OpenAI DevDay on September 29, 2026.
00:16 There are many interface changes that you have probably noticed, as well as several new features. That is exactly why we are here today.
00:25 I’m going to talk about the recently released Meetings plugin. Here at LearnAIR™, we use software called Spinach AI. It joins our meetings, transcribes them, saves the videos, and allows us to return later and ask specific questions about those meetings.
00:43 We can also provide the meeting transcript to our agents as context, helping those agents become a more integrated part of our work.
00:53 That functionality is now available directly within ChatGPT. To find it, click Plugins on the left-hand side.
01:06 Once you are there, search for Meetings. If you have access, the Meetings plugin should be the first result.
01:18 It is currently available in beta on the Pro and Business plans. It is not yet generally available on Enterprise plans.
01:26 OpenAI is testing it with a limited group of Enterprise customers through an alpha program.
01:34 Once you have located the Meetings plugin, select the option to install it and follow the onboarding steps. Connecting a calendar is optional. If you want to see upcoming meetings and receive reminders, connect Google Calendar or Outlook Calendar.
01:51 Another important access requirement is that the Meetings plugin is currently available only in the ChatGPT desktop app for macOS.
02:01 If you are using ChatGPT in a web browser, you will need to download the macOS desktop app to access this plugin. Once you have installed the plugin, follow the prompts to provide the required microphone and system-audio permissions.
02:18 Now we can explore how to use the tool. On the left-hand side, click the three dots to find the Meetings tab.
02:30 When you open that tab, you can see upcoming meetings by date if you have connected Google Calendar or Outlook Calendar.
02:43 Importantly, ChatGPT does not join your meetings automatically. You need to open this page, confirm that everyone has consented, and select Take notes.
02:56 After you select the button during a meeting, a small waveform at the top of your screen indicates that ChatGPT is taking notes.
03:07 You do not need to do anything else during the meeting. Before you begin, tell everyone that you will be transcribing the discussion and obtain their consent. When the meeting ends, stop the recording.
03:17 As a short example, I’ll select Take notes. You can see the reminder to ask before transcribing other people. After I continue, the button changes from Take notes to Stop.
03:32 Leave it running for the duration of the meeting. ChatGPT will transcribe the discussion and use the available context to create personalized notes and suggested actions.
03:46 When the meeting has ended, return here and select Stop.
03:57 You can see that a new meeting note confirms that the meeting was recorded. I’ll delete this one because it was only a demonstration, and then we’ll examine an example from a meeting I attended earlier today.
04:15 As you record more meetings, they will appear under Past notes in the Meetings tab. If I open the note from my AIR Show meeting earlier today, you can see that ChatGPT created a title based on the discussion.
04:30 It listed the people who were present and personalized the notes for me. It identified points that I shared, along with next steps and conversations that involved me.
04:49 We also have access to the transcript. This gives ChatGPT the context it needs to help us work with the meeting.
05:01 The transcript appears here. I can copy it, but its main purpose is to provide the context needed to ask questions and interact with the meeting record.
05:17 If I select the chat button at the bottom, I can ask specific questions about the meeting.
05:25 For example, I asked, “What were the concerns and the final decision surrounding the website blogs?” ChatGPT referenced the meeting transcript and answered based on that discussion.
05:40 If you forget an important detail, this can help you return to the meeting context. Always check consequential details against the transcript or another reliable record.
05:48 You can take this further. In addition to using ChatGPT as a reference point for your meetings, you can ask it to analyze a discussion from different perspectives. Review its interpretations carefully because meeting notes and AI-generated analysis can contain errors.
06:06 Another useful application of the Meetings plugin is creating a daily reminder of the commitments you made during your meetings.
06:17 I can do this with a scheduled task. Scheduled tasks run automatically according to the instructions and schedule you set.
06:29 Because you choose when to start taking notes, you can use the plugin for online or in-person meetings. In both cases, obtain everyone’s consent before you begin.
06:42 Unlike tools that join online meetings as participants, such as Spinach AI, Fireflies.ai, or Read AI, the Meetings plugin can also capture an in-person discussion through your Mac’s microphone.
06:56 I entered my request in natural language. ChatGPT then returned the proposed task instructions and asked me to approve the required tool use.
07:11 Here, you can see that it is asking for permission to run the tool. Before approving anything, review what the tool will do and which information it can access.
07:25 If I am unsure what the tool does, I can read each of these details before making a decision.
07:35 I agree with the proposed instruction to review all meeting records from the current calendar day, so I’m going to allow it.
07:43 After I approve the tool use, ChatGPT configures the task using the instructions I provided.
07:52 The daily meeting commitments task is now scheduled to run every weekday at 5:00 p.m. I can open the task to verify its schedule, instructions, and permissions.
08:10 That is another useful application of the Meetings plugin. Now, let’s return to the Meetings page and look at a few sharing practices.
08:24 From here, I have the option to share meeting notes. Sharing notes with colleagues can give them useful context, but review the content and sharing permissions first.
08:34 If I am sharing information with Justin, I may not want to share my personalized version of the meeting summary.
08:43 This meeting note is created as a Page in ChatGPT. Pages include special functions. By typing a forward slash, I can open a menu and add a subpage.
09:02 If I type a forward slash and select Page, I can add a new page called “AIR Show meeting notes for Justin.”
09:15 I can then use the magic-wand button to generate a prompt, such as, “Please create a personalized summary of the meeting for Justin.”
09:30 ChatGPT can review the transcript and create a customized meeting summary for Justin. I can review and correct that summary before selecting Share and entering Justin’s email address.
09:47 Here, ChatGPT has reviewed the meeting transcript and produced a short summary with responsibilities relevant to Justin.
10:04 Those responsibilities differ from mine, which appear on the left. Because this is embedded as a subpage, I can select Community Standards, open Show pages, and find the subpage I created.
10:23 Pages, Space, and the Meetings plugin add several new ways to organize meeting context and follow-up work in ChatGPT.
10:35 As more work moves into ChatGPT, providing relevant context can help it support us more effectively. We still remain responsible for obtaining consent, managing permissions, checking important details, and approving any action taken after the meeting.
